Board Job Descriptions
PTC BOARD POSITIONS
JOB DESCRIPTIONS
2009-2010
SECRETARY
Duties:
-
Attend all PTC General meetings (5 per year) and Board meetings (9
per year).

Take minutes at all PTC General and Board meetings.
-
Distribute draft of minutes via email to Board members, Principal
and Pastor, for review and revisions, then distribute final edition.
-
Help with miscellaneous duties, such as set-up and clean-up at
general meetings and other PTC-sponsored events.
Benefits:

The Secretary is an important part of the Board that makes decisions
about major fundraisers and financial support of the school.

Receive 30 minimum family volunteer hours for a year of service and
also the two following years (3 years of credit total).
TREASURER
Duties:
-
Maintain and track all income and expenses related to fundraising
activities and events at the school using Quicken software.

Work closely with the parish bookkeeper and finance coordinators for
fundraising events.

Review monthly bank statements to ensure accuracy and correct
balance.

Monitor the Treasurer’s drawer in the school office regularly for
receipts and issue reimbursement checks to parents in a timely
fashion.
-
Attend all PTC General meetings (5 per year) and Board meetings (9

At each monthly Board meeting, provide the following:
- Copy of the latest bank statement
- Summary of last month’s activity, including
beginning balance, a list of income and expenses, and the ending balance
- At the conclusion of a fundraising event, provide a
summary of overall income and expenses related to
that event

tracks the income and expenses related to our fundraisers that
support the school.

FAMILY
VOLUNTEER HOURS (FVH) COORDINATOR
Duties:
-
Track and report each family’s volunteer hours for the school year,
which is maintained in an Access database. Hours are tracked
annually from April 1 to March 31.

Collect volunteer hour slips from the volunteer
box in the school’s office or via email and input into database.
-
Post a blind copy of all families hours
completed four to five times a year online and on the bulletin board
located by the school office.
-
After the end of the FVH reporting year (March 31), send individual
family statements outlining the hours they completed and charges for
any hours not completed ($15/hour).

Attend all PTC General meetings (5 per year) and Board meetings (9
per year).

At each PTC General meeting, provide sign-up sheets for parents to
sign in for one hour credit. After meeting, log hours in the
database.

Serve as a resource to PTC Board members and parents.

Help with miscellaneous duties, such as set-up and clean-up at
general meetings and other PTC-sponsored events.

The FVH Coordinator is an important part of the Board because they
ensure all families are involved in providing service to the school.
